The butcher's shop Kleiber, headquartered in Memmingen, uses the ERP system winweb-food among other things as an ordering, information, and evaluation system for its own nine branches, which are supplied with fresh goods every morning - just like external major customers -.

This is how Michael Kleiber GmbH, headquartered in Memmingen in the Allgäu, advertises on its website. And indeed, if you put it to the test and visit one of the nine branches in the Allgäu or in Swabia, you can’t stop looking: pork neck, red Presssack, narrow beef shoulder or sliced kidney are displayed alongside bratwursts, steaks and chops. Numerous homemade salads, ready-to-cook dishes, sausage and cold cuts round off the product range.

The animals come from farmers selected by Kleiber and who only produce for the butcher from Memmingen – who can therefore also have a say in the rearing. “We slaughter ourselves and utilize everything", says Michael Kleiber Jr. "Only in close cooperation across all stages of the Meat production over can it succeed to produce meat and sausages that taste good, are healthy and that can be enjoyed with a clear conscience“, says the junior manager.

No more isolated solutions

Every morning, the company's nine own branches and external wholesale customers are supplied. To ensure that logistics run smoothly and all products arrive on site as fresh as possible, the Swabian company works with Winweb. For over 20 years, the IT specialist has been offering industry-specific solutions for managing business processes. “Until now, we only had isolated solutions”, informs Kleiber jr. “At some point, that caused us difficulties because we created interface problems for ourselves with it. Therefore, we only wanted one software solution that can do everything and support us in the best possible way”, explains the 35-year-old, who was quite aware that in this way the IT in his company had to move away from isolated solutions toward standardized processes. “Together with Winweb, we are now working on implementing the special requirements that we have”, says Kleiber jr.

The responsible employees in the branches order via specially developed order templates toTouch PCs, which are located in all stores, directly live in winweb-food their goods for the following day. “This makes the recording of the Orders much easier and safer and also much faster", says Kleiber Jr. Even order quantities from last week and from the same day a year ago can be displayed in order to provide the branch management with concrete decision-making aids. The few major customers that Kleiber has order the products needed for the coming day by 5 p.m. via telephone, fax or email, which are entered manually into the winweb-food ERP system.

The store scales receive all item information, including current prices, via winweb-food during the night so that the products can be billed correctly the next day.

Pick more efficiently

At the Memmingen headquarters, night is turned into day six times a week when at 3:30 a.m. the ordered items are picked and weighed with the help of winweb-food and theGoods issue is recorded in winweb-food. In picking, the orders of the individual branches and wholesale customers are first displayed on the touchscreen: Processing line with item, ordered and processed quantity as well as Batch number.

“That naturally saves costs.” 

Product by product, the order is processed until the desired quantity for the respective customer is reached. If the scale measures a different value at the end than the weight calculated by the ERP system, winweb-food displays a warning. This is intended to ensure that exactly the ordered quantity is delivered. “In this way, winweb-food forces us to be more precise”, explains Kleiber Jr. Early in the morning, the goods are then delivered with the company’s own trucks. “The changeover in order picking was tough”, recalls Kleiber Jr., because the processes had been very entrenched. “Little by little, however, routine is returning”, says the junior manager, who knows that many processes can be simplified and improved through winweb-food. Data collection has thus become much more detailed and the error rate has dropped significantly. “Of course, that saves costs”, says Kleiber Jr.

Everything from a single source

While the ordered products are being picked in the Memmingen headquarters, winweb-food automatically sends all item information including the prices, which were calculated the evening before at the headquarters, to the scales in the nine branches via the Internet. At the end of each sales day, the sales are in turn read online from the scales using the receipt data and sent to the Branch billing and used for evaluations. For fiscalization, winweb-food archives all transactions completely. At Kleiber, special attention is paid to the evaluation of the individual branches: The sales of the individual stores are checked daily and data such as the number and sales per customer are compared with the same day of the previous year. Advertising checks can also be carried out with the branch evaluation of winweb-food.

In addition, the sales management system displays, among other things, the average prices compared to the previous year. All data runs in Management information system together with winweb-food, in which different evaluations of branches and bulk consumers can be viewed. “In our collaboration with Winweb, we are only at the beginning,” says Michael Kleiber Jr. “Step by step, we want to switch all processes to winweb-food. This will certainly still cost us effort, but then we will finally have everything from a single source.”
